Welcome to BidCraft Tile
BidCraft Tile turns photos, voice notes, and rough sketches of a bathroom or tile job into a professional, priced proposal you can send to your client the same day. This article gives you the lay of the land so you know what each part of the app is for and where to start.
What BidCraft does for you
Think of BidCraft as the back-office foreman you never hired. You walk a job, snap photos, talk through what you see, and the app handles the math:
- Reads your photos and your voice notes to figure out dimensions and what work is needed
- Builds a scope of work in plain English
- Applies your pricing (your day rate, multipliers, materials costs, rules) to produce a real proposal
- Sends the proposal to your client, captures their signature, and invoices them through Stripe
You stay in control. BidCraft makes the first pass; you adjust, refine, and ship.
Your first 30 minutes
When you sign up, a short slideshow asks a few quick questions — what kind of work you do, and whether your proposals lean simple (a handful of surface-level lines) or detailed (broken out step by step). Your answers tune BidCraft to how you already quote — the simple-vs-detailed pick, for example, pre-selects the style when you install starter templates or generate your first one. Your job types start empty; fill them in a few minutes from Your job types on Settings → Pricing templates (generate one, install proven starters, or upload a past proposal).
Once you land on the dashboard, Biddy offers a quick look around (about 4 minutes, skip it any time) and ends on the three things worth doing first:
[!steps]
- Set up your templates — install starter templates, generate one, or upload a couple of past proposals so BidCraft learns your line items and wording. This is what makes proposals come out sounding like you wrote them.
- Tune your pricing — the AI pricing interview via Biddy. About 4–5 minutes for the Essentials gets you most of the way. This is the single most important step: without your pricing, every proposal is a guess.
- Create your first project — do a real job you've already quoted, just to see the flow end to end.
Take them in any order. Once your pricing basics are in, follow-up setup work shows up in the My tasks card, badged Setup, and checks itself off as you finish each step. Add your business name and logo on Settings → Company Profile whenever you're ready — they show up on every proposal and email your client receives.
Get the phone app too: BidCraft Tile is in the App Store and on Google Play, and you log in with the same email and password. Bidding happens on the job site, so that's where it's built to live. See Getting the BidCraft app on your phone.
After that you're set up. Real projects from real walk-throughs take 10–15 minutes each.
Where things live
| Section | What you'll find there |
|---|---|
| Dashboard | Where you pick up. Your last three jobs sit at the top, each with its next step and a Continue button, plus a card to start a new bid. Under them, search for any job, client or address, or tap a stage (Drafts, Ready to send, Sent, Won, Building) to see those jobs. Then Since you were here, My tasks (setup steps land there once your pricing basics are in), the Guild card with today's habits, and Community. Clock in and Snap a receipt are one tap away at the top. The full day's work lives in Tasks → My Day. Project-specific steps also show up under ⋯ More on the project page. |
| Projects | Every job you've started, draft → signed → paid. The Calendar and Showcase tabs at the top of the page show every scheduled job on one timeline and your job photos. |
| Tasks | Daily checklist for you and your crew |
| Time & Team | My time: your week by job, and each job's hours against the days you bid it. Team: everyone's days side by side, who's on site now, and the roster with invites and roles. On your own, it shows your working hours, time off and certifications, and a card to invite your first crew member. Owners and admins with crew also get an Approvals tab for submitted weeks. Sales and crew see it as Time (their own hours). |
| Contacts | Your clients and leads |
| Community | Talk shop with other tile pros. On your phone it's one of the bottom tabs. |
| Catalog → Services | The work you sell (demo, install, waterproofing, etc.) and what each costs |
| Catalog → Materials | Products you actually use (your favorite thinset, your preferred grout) |
| Catalog → Find Products | The full Schluter and Laticrete catalogs to pull from |
| Settings → Pricing templates | How you charge (day rate, materials, who buys the tile, tile difficulty, minimum, margin goal, pricing rules), and Your job types: your saved shape for each kind of job. Every proposal starts from the matching template |
| Settings → Proposal Settings | How your proposals look + where they get sent from + how invoices are created |
| Settings → Company Profile | Business name, logo, service area — what shows on every proposal |
| Settings → Client Portal | What your clients see in their portal |
| Settings → Connected Apps | HighLevel CRM sync, Stripe payments setup |
| Settings → Billing | Subscription, usage, payment method |
| My Profile | Your personal info and preferences. Click your name at the bottom of the sidebar (on a phone: More → You). |
Your dashboard, top to bottom
The dashboard is built for getting back to work:
- Clock in and Snap a receipt. Start your day · Clock in sits in the header (on a phone it leads the quick-action strip), and Snap a receipt is first in the quick-action bar, ahead of + Voice note, + Task, + Showcase and + Contact.
- Pick up where you left off. The last three jobs you opened, newest first, each with its next step. Only the first has the orange Continue button. A job that's signed, or paid and underway, also gets a Receipt button on its card. On a phone, the second and third jobs show as short rows without that button, so use Snap a receipt for those. A Start a new bid card sits beside them. Finished and lost jobs drop off unless you opened them today.
- Projects. Search by job, client or address, see the total you have in play, and tap a stage to open those jobs. Each stage shows its count, its dollars and whose move it is.
- Since you were here. Up to five things that happened since your last visit: a client opened or signed a proposal, a payment came in, Biddy finished reading your plans, your crew clocked in, or someone replied to or reacted to your post in Community. A line says who's on site now when crew are clocked in.
- My tasks. Only tasks someone created or handed to you. It hides itself when there's nothing to show.
- The Guild and Community. If your shop has the Guild switched on, you'll see your level, XP to the next level, streak, and Today's habits: opened BidCraft, clocked in for the day (+10 XP), snapped a receipt (+5 XP) and said something in Community (+5 XP; that one only shows when your shop has Community). Clock-in and Community XP count once a day each. Beside it, Community shows the two latest channel posts and how many you haven't read, and a compact Your numbers card shows the month, quarter or all-time totals.
- One step from Tradesman. If you've earned the XP for your first rank but haven't built a proposal yet, the Guild card says so. Build one (a practice proposal counts) and the title is yours on the spot.
The bell: updates and activity
There's a small bell in the top-right corner. On a computer it sits on every screen, and on your dashboard it moves into the header next to + New bid. On your phone it lives in the top bar on every screen, the dashboard included, beside your level and the light/dark switch. It wears an orange dot when there's something you haven't seen. Tap it and you get two tabs:
- Updates — what we shipped. New features and fixes, newest first, one line each. Click any of them for the full story, or All updates for the whole history.
- Activity — what happened in your business. A client opened your proposal, someone signed, a payment landed, Biddy finished reading your plans, a receipt got photographed, a crew member started their day, a task got ticked off, a job photo came in, someone replied to your Community post. Newest first, with Load more at the bottom to go further back.
Anything tied to a job is clickable — tap the line and you land on that project.
Every entry in the Activity tab is tappable and takes you to the thing it's about — a signature opens that proposal, a clock-in opens the timesheet, a receipt opens that job's receipts. On your phone the bell opens straight to Activity, since that's where the feed lives at that size.
Opening the bell counts as reading it, so the dot clears itself. Nothing to configure.
[!note] What you see in Activity depends on your role. Crew see the work side — clock-ins, finished tasks, job photos — and no dollar figures at all. Owners, admins, and sales see the money too.
Meet Biddy
Biddy is the little assistant in the bottom-right corner of every screen. On a brand-new account it gives off a soft glow until you tap it the first time. Open it and Biddy greets you by the goal you picked at signup ("You said winning more bids matters most — let's get you there.") with a single Show me around button. Tap it to ask anything — "how do I send a proposal?", "why was this line $400?", "add a 15% rush charge whenever the timeline is under 2 weeks." It can answer questions, navigate you to the right page, and (with your confirmation) make changes on your behalf.
[!tip] When something feels off in a proposal, tell Biddy in plain words. It remembers your pricing rules across projects, so a one-time "I never charge less than $1,200 for a small bath demo" becomes a permanent rule.
The big picture
Every job moves through the same shape:
- Capture — photos, video walkthrough, voice notes
- Analyze — the AI extracts dimensions, fixtures, conditions
- Scope — you review the list of work the AI identified
- Build — proposal generates with your pricing applied
- Send & sign — client gets a branded proposal, signs digitally
- Get paid — Stripe collects deposit, milestones run on schedule
You can stop at any point and come back. Projects auto-save. Nothing is destructive until you explicitly send to a client.
Next steps
The fastest way to learn the app is to do a real proposal end to end. Head to Setting up your account & business profile and then The AI pricing interview — Essentials.
[!note] Stuck? The Help button in the sidebar opens this center. The search bar at the top finds any article. Or just ask Biddy — it knows everything in here.
Email andy@businessupai.com and a real person on the BidCraft Tile team will get back to you. If you're signed in, you can also ask Biddy from any page in the app.
