Send your client a payment receipt any time

Send your client a payment receipt any time

Online payments have always sent the homeowner a receipt automatically. Checks and cash sent nothing — and when a client said "I never got that receipt," there was no button to press.

Now every completed payment in a project's Payments section has an Email receipt action. Click it, confirm the address or type a different one, send. Once one has gone out the action reads Resend receipt and shows you where the last one went and when, so you're never guessing whether they already have it.

That covers the three that actually come up:

  • "I never got it." Resend it — to the same address, or to the spouse, the bookkeeper, the property manager.
  • A check or a Zelle. Record the payment with Email a receipt to the client ticked and it goes out as you save. Or record it now and send the receipt later from the row.
  • Tax time. Somebody wants proof of what they paid in March. Ten seconds.

The Record payment window has a checkbox now

When you log a check, cash, Zelle or a wire, there's a tick box for the receipt, with room for an address if it should go somewhere other than the client's email on file.

If that email can't go out — no address on file, or a typo — the payment still records. You get a warning about the receipt, not an error about the payment. The money is in the ledger either way, so there's nothing to re-enter.

Three settings, under Proposal Settings

A new Payment receipts section under Catalog → Proposal Settings:

  • Automatically email a receipt when an online payment succeeds — on, the way it's always worked. Turn it off if your bookkeeping software already sends receipts and you'd rather your clients didn't get two.
  • Pre-select "email a receipt" when recording a payment by hand — on. Just decides whether the box starts ticked; you can change it on any payment.
  • Custom receipt note — optional, and worth the thirty seconds. Whatever you write here prints at the bottom of every receipt: a thank-you line, your warranty terms, your license number.

Receipts are only offered on completed payments. A voided entry, a refund, or a bank transfer still clearing doesn't get the action — there's nothing to confirm yet.
