Payments tab is now universal — track checks, cash, and Zelle too

You don't need Stripe Connect to use the invoice + payments side of BidCraft anymore. The Payments tab now shows up on every project that has a signed proposal, regardless of how you bill — and you can record off-platform payments (checks, cash, Zelle, wires, manual ACH) against any invoice with a single click.

What this fixes

Before, if you didn't have Stripe set up, the Payments tab just didn't appear. That meant:

  • Half the dashboard "Collected this month" number was missing because checks/cash never landed in the system
  • Cost Analysis variance was off — predicted vs actual only counted the slice of revenue that flowed through Stripe
  • HighLevel-routed contractors couldn't see a unified view in BidCraft

Now every project's Payments tab shows the full milestone schedule with three tiles at the top — Invoiced, Collected, Outstanding — that include every dollar regardless of how it came in.

Record a payment in 4 fields

On any invoice, hit Record payment and fill in:

  • Amount
  • Method (Check / Cash / Zelle / Wire / Manual ACH / Other)
  • Date you actually received it
  • Reference number (check #, Zelle confirmation, etc.)

The invoice flips to Paid the moment your recorded payments cover the amount. If it was the deposit on a fresh project, the project status advances to Paid automatically — same as if Stripe collected it.

Made a typo? Each entry has a Void action that adds an offsetting reversal to the ledger (the original entry stays for the audit trail).

Send invoices without a processor

If you don't have Stripe Connect set up, the deposit invoice still emails the homeowner at signature time — they just see a "View Invoice" link instead of a Pay button. The public invoice page shows a How to pay block with the instructions you saved.

Set those instructions on Settings → Proposal Settings → Payment instructions. One time, applies to every plain-mode invoice you send.

[!tip] Already on Stripe? Nothing changes for you — the deposit still fires automatically, milestones still send with a Pay button, refunds still go through Stripe. The new Record Payment button is there for the edge case where a homeowner hands you a check anyway. Logging it keeps your Cost Analysis variance accurate.
