Logging hours after the fact
The clock is the easy way to track time. It isn't the only way. When a day didn't get clocked — you forgot, a sub texted you their hours, the phone died — you can add the hours afterwards and they count exactly like clocked time.
Where to add hours
You'll find + Add hours in three places:
- On the project — open the job, go to Schedule, and look for Hours on this job. Everything clocked or logged on the job is listed by day. Add hours here when you know which job it was but don't want to hunt for the task.
- On My time (Time & Team in the sidebar, Time for sales and crew). Tap + Add hours at the top, tap an empty day's + Add, or open a day and use its + Add hours, already set to that date.
- On a task — open the task and scroll to its time entries. Hours added here are pinned to that task.
What you fill in
Pick the day, type the hours, and choose the project (and a task if you know it). A note is optional but handy — "grout day, forgot to clock in" tells the office everything.
Hours you add start at 8:00 AM on that day. If the day already has time on it — a clock-in, or hours you added earlier — the new hours line up right after it, so "2 hours" then "8 more hours" reads as one 10-hour day, not two entries on top of each other.
If you'd rather give exact times, tap Exact times and enter a start and an end instead of a number of hours. Exact times are never shifted, so use them when work overlapped or happened at an odd hour.
Owners and admins can also pick who the hours belong to, so you can log a crew member's day for them.
What happens to the day clock
Your day total on My time comes from your day clock, so BidCraft makes sure logged hours count:
- If that day had no clock at all, a day clock is created for those hours.
- If the day already had a clock and the hours fit inside it, nothing changes — they're just attributed to the project or task.
- If the hours run past the clock, the clock is extended to cover them.
The message after you save tells you which of these happened.
Fixing hours you already logged
Any entry — clocked or added — can be edited or deleted from the same three places. Change the start, the end, or the note and save. On My time you can also adjust the day clock itself.
If the week was already submitted or approved
Changing hours in a week that's been sent in re-opens that week. It goes back to draft with an Amended note so it can be resubmitted and approved again with the right total.
- A submitted week can be changed by the crew member or by an owner or admin.
- An approved week can only be changed by an owner or admin. If you're crew and need a change on an approved week, ask your supervisor.
Hours on Cost Analysis
On the project's Cost Analysis, Clocked on this job now counts all the time on the job — hours on tasks, hours on tasks with no proposal line, and hours logged on the whole project without a task — so the actual labor picture is complete.
