Tasks on signed projects

Up until a client signs, the proposal is about pricing — what they're paying and why. The moment they sign, the conversation shifts to execution — what your crew actually does on which day. BidCraft handles that pivot automatically.

Execution lives under Schedule on the project page, and it's pre-populated with execution tasks generated from the lines in the proposal, grouped by line item, ready for you to assign and schedule. The page opens on the job at a glance — a run of working days with your phases across it and today marked — and the full task board is one button away.

You don't have to do anything to make this happen. Sign → tasks appear → assign people. That's the whole loop.

What's in the section

Tasks land in two groups:

  • General project tasks at the top — things that apply to the whole project, not a single line. These come from any org-wide checklists you've set to auto-apply on sign (e.g., Day 1 Walkthrough, Final Punch List). See Org-wide checklists.
  • Per-line groups below — one section per proposal line item. The header shows the line title, total task count, and total estimated hours.

Each task row shows the title, a source badge (where this task came from), the estimated hours, the assignee, the status, and a Photos square — a dashed + when the task has none (tap it to take a photo or pick one from your device), or the latest photo with a count once it does (tap it to open the task's photos). Owners, admins, and sales click a row to open its full details — description, dependencies, photos and notes, crew role, phase, and hours all live there. Sales sees the same panel but can't edit anything in it. See Working in the List view below for the specifics.

Where tasks come from

Every task row carries a small source badge so you know its origin:

  • service — generated from the task list on the matched service in your catalog. The most common path when the proposal line maps cleanly to a service you've already authored.
  • AI — Biddy filled in tasks because the line didn't match any service template. Worth a glance; AI-generated tasks aren't always perfectly tuned to your shop.
  • SOP — came from an SOP that has the "Auto-apply on every signed project" toggle on (e.g., Day 1 walkthrough). The parent SOP is auto-attached to the task so crew can tap and read the procedure mid-job.
  • manual — you added it by hand.

When the AI generates tasks for a line that did match a service (one with an empty Tasks section), BidCraft writes the result back into that service template for next time. The second project using the same service starts from a real template instead of cold-starting again.

Regenerating

Two regenerate buttons live in the section:

  • Per-line — section header on each line group. Replaces the line's tasks with a fresh generation. Use when you've heavily edited the proposal line and want the tasks refreshed accordingly.
  • Regenerate all — top-right of the section, owner/admin only. Wipes every task on the project and starts the full generation over. Use as a last-resort reset.

[!warning] Regenerate wipes the existing tasks for that scope. If you've already assigned crew or updated statuses, those edits are gone after a regen. The task history audit log keeps a record either way, but the live rows reset.

How tasks show up in Costs & Materials

Even when you're staring at the cost analysis in the Costs & Materials section, each line shows a small purple chip — ✓ 5 tasks · 18 hrs — right next to its materials badges. Click the chip and you jump straight to Schedule & Tasks, scoped to that line. No hopping around to confirm "yes, this line has tasks attached."

The Tasks page

The dedicated Tasks page at /tasks is the home base for execution, and it opens on My Day — your own list for today, the same one your crew and sales people see. Full rundown in My Day.

The pills beside the Tasks heading switch to the other views. Board is the org-wide picture:

  • The board (left). Every task across every signed project, grouped by date. The schedule steps BidCraft builds for a bid join the board once the client signs, and leave it when the job is marked completed — until then they live on that project's own Schedule. Tasks you or your team add by hand, anything assigned to someone, and proposal follow-ups always show. A light-outlined Today box sits pinned at the top as your focus lens — the rest of the list scrolls underneath it. Overdue work shows in a red strip inside that box so it's the first thing you see. Below Today come tomorrow, the days after, anything unscheduled, and a collapsed Earlier group for past/finished work. Flip the Date / Date + Project toggle to subgroup each day by job — then collapse a project to hide its tasks under every date at once.
  • The rail (right). Org-wide totals for today at a glance — tasks, estimated hours, projects, and overdue count. Your own clock-in widget lives here. Today's Stops lists every job with work scheduled today, each with a one-tap Directions ↗ button that opens Google Maps (or your phone's native maps app) with the address filled in. Missions live in the Quick wins block on My Day, not here.

Clicking a task row opens the task drawer as a side panel — the board stays put and stays clickable, so you can tap straight to another task and the panel switches to it. No more full-screen popup that greys everything out. + New task (top right) opens the full editor to create one from scratch.

Board, My Day, SOPs and Insights are four pills in the header — tap one to switch the page to it. Owners and admins land on Board; the board's right-hand rail already carries your own day inside it, so you get both pictures at once. + New task stays put in the top right on all four. The deep links /tasks#myday, /tasks#sops and /tasks#insights land you straight there.

This is the page your crew and sales people live on too — they get My Day and nothing else, which is exactly what they need (see Crew view below).

Photos and notes

Every task has its own photo feed for documenting work on site. See Photos and notes on tasks.

Crew view

If you're a crew member, your home screen has the day clock and the job you're on, and Tasks in the bottom bar opens My Day — Start / End the timer on each task as you work, with a separate Done button to mark a task complete. Sales get the same view under Tasks. See My Day, Your daily work view and Clocking in and out.

Working in the List view

By default Schedule & Tasks opens to List, with tasks grouped under purple line-item headers. Each header has a collapse arrow on the left, then the phase name and its summary, then + Add task and ⏳ Add wait right after the summary — adding a task here pre-links it to that line item so it inherits the line's day window in the Schedule view.

For owners and admins, List is a spreadsheet — one row per task with columns for status, assignee, phase, estimated hours, and due date, lined up across every section:

  • The status and assignee dropdowns are quick-edits right in the row — no need to open anything for a fast change.
  • Click anywhere else on the row and the full task drawer slides open: description (click in and type), dependencies grouped by line item, and a photos-and-notes feed for the task. See The task drawer for the full rundown.
  • The drawer's Open full editor link is the escape hatch to the heavier editor for clock-in and time entries.
  • The kebab menu on the right of each row deletes the task.

Sales sees the exact same spreadsheet and drawer, so they can check status, assignee, and progress on a job — but everything is locked: no quick-edit dropdowns, no drawer edits, no delete. It's a look-but-don't-touch view of the same data owners and admins work in.

Crew viewing their own project's tasks see a simpler card list instead — tap a card to expand it inline for the description, required skills, and attached SOPs.
